FAQ

Answers common questions about intake, scope, timing, documentation, and handling controls for preservation-first legal and insurance-related matters.

Common intake, scope, and handling questions

A. Intake and first contact

Why does written intake begin with email?

Written intake keeps source details, authority, timing, and transfer decisions organized from the first exchange.

What should I include in my first message?

  • Your role (attorney, insurer, corporate representative, or individual)
  • Matter name and any known deadlines
  • The issue the preservation or acquisition request is intended to address
  • Source details (device, account, media type, capacity, condition, and any known encryption)
  • Any prior handling, access changes, or collection attempts

Can I send files right away?

Please do not send sensitive files during first contact. If transfer is needed, a secure upload method is provided after intake details and transfer instructions are confirmed in writing, with per-matter credentials issued and revoked after transfer.

B. Services and scope

What data sources can you preserve or acquire?

Data365 Evidence handles authorized preservation and acquisition of digital media and account-based sources, including storage devices, mobile devices, and business or cloud-based accounts, once scope, authority, and source access are confirmed during intake.

Do you perform cloud data capture?

Yes—when authorized in writing and aligned with the confirmed collection plan. Cloud-based capture typically uses provider export, administrative, or account-access methods to preserve available data and metadata. No password bypass, covert access, or hidden collection is performed.

C. Timing, fees, and calls

Will you do phone calls?

Yes, when a short call will materially speed clarification after preliminary review. Engagement terms, fees, access authority, and next steps are still confirmed in writing.

Is written intake slower?

In practice, it is often faster overall because the first exchange can be reviewed, forwarded internally, and used to confirm scope, authority, and timing without retracing details later.

What is Secure Priority Access to Evidence Preservation?

It is an expedited intake and scheduling path for matters requiring faster preservation coordination, especially when legal holds, deadlines, or evidence-loss risk call for faster action.

D. Legal posture and handling controls

Are you a law firm?

No. Data365 Evidence provides technical digital evidence preservation, acquisition, and recordkeeping services. It is not a law firm and does not provide legal advice.

Do you provide legal advice?

No. Legal strategy, obligations, and case-position decisions should be directed to counsel.

Do your services create an attorney-client relationship?

No. Use of this site or these services does not create an attorney-client relationship. Engagement terms, scope, and authorization are confirmed separately in writing.

How is data protected?

Evidence media and collected data are handled under controlled access, recorded custody procedures, transfer discipline, and storage practices appropriate to the matter.

Written intake gives all parties one clear record for scope, access authority, timing, and next-step handling.

What is the difference between evidence preservation and forensic analysis?

Preservation focuses on securing data at the outset of a matter through defensible handling and records. Forensic analysis typically involves interpretation, opinion, or expert reporting later in the matter lifecycle when separately retained.
